Recruitment CRM data export: what can you actually take?

A useful recruitment CRM data export lets your agency retrieve the information it needs in files that remain understandable outside the software. A candidate spreadsheet alone does not prove that. Before renewing or buying a system, ask for a small export demonstration covering records, their relationships, activity history and attachments, then document what is missing and how it can be obtained.

This is a practical check for agency owners and operations managers who want evidence before making a purchasing decision. You do not need to be changing systems today. Establishing what you can retrieve gives the next reporting, archive or supplier discussion a concrete starting point.

Define the package you need before pressing export

Start with a one-page inventory of information your agency relies on. Include candidates, applications, vacancies, client contacts, open tasks, interaction notes and relevant files. List workflow configuration separately: stage names, field definitions and automation rules may need their own documentation.

Beside each item, record its business use. For example, application links explain which role a candidate discussed; task ownership explains who promised a callback. This prevents a supplier demonstration from drifting towards the easiest downloadable table while leaving daily work unexplained.

Distinguish three outcomes: available directly, available through a separate supported process, and unavailable or unproven. A verbal assurance belongs in the last category until somebody demonstrates it. Separate current fields from the history behind them

The reviewer should be able to answer these questions from the delivered package:

  • Which applications belong to the same candidate?
  • Which vacancy does each application refer to?
  • Who owns the open callback and when is it due?
  • Can the completed conversation be located and dated?
  • Can the attachment be opened without the original user session?

Do not accept screenshots as a substitute for downloadable records. Screenshots may explain the demonstration, but they cannot establish what the export contains. Keep the sample files, the export settings and a dated list of exceptions together.

Check the difficult parts of the package

Relationships that survive outside the screen

Look for stable record references connecting the separate files. A candidate name alone is a weak link because names can repeat or change. Ask how a reviewer can connect a candidate, application and vacancy without guessing. If a relationship is represented as several identifiers inside one cell, request its documented format.

Attachments that remain usable

A link to a CV is different from the CV file itself. Establish whether links require an active account or expire, and how actual files can be delivered through an approved route. Check that filenames or a manifest connect each attachment to the correct record. Do not download a real candidate archive merely to test this; a synthetic document is enough for the first check.

Meaning across language desks

For a Dutch agency working with a Polish recruitment desk, test accented names and a field label that differs between interface languages. Ask whether the exported value is a stable code or a translated display label. Otherwise two exports can appear inconsistent simply because different users selected different language settings.

Turn supplier answers into a renewal decision

Create a short decision record with the requested item, observed result, remaining gap, responsible person and proposed resolution. Record any supplier-assisted work as a dependency, including how it is requested and what must be agreed about timing and cost. Do not insert assumed fees or standard delivery times.

Classify gaps by their consequence. Missing decorative dashboard settings may be acceptable if the underlying data is usable. Missing application relationships or inaccessible attachments may require a different decision. Your threshold should follow the agency's intended use, rather than a universal checklist score.

The most common shortcut is treating an export button as proof of complete access. Other mistakes include testing only a simple contact, overlooking attachments and relying on one administrator who will not always be available.   • Write down the business purpose of the export.
  • List records, history, relationships, attachments and configuration separately.
  • Demonstrate the process using connected synthetic records.
  • Open the files outside the original CRM session.
  • Document exclusions, dependencies and unproven items.
  • Store the results in an approved location with an owner.

FAQ

Is a CSV export enough for a recruitment agency?

It may be enough for a bounded reporting task. It is not sufficient evidence for a complete agency data package unless relationships, required history and files are also accounted for. Judge the export against its stated purpose.

Should we test exports even if we plan to renew?

Yes, as an operational practice. A renewal discussion is a useful opportunity to resolve unknowns while the system is still in normal use. The test does not commit the agency to leaving.

Does an export need to include every record?
